The primary responsibility of this position is to manage and/or coordinate administrative operations for the leadership suite as part of ensuring optimal efficiency and effectiveness of the organization. The incumbent will also be responsible for basic HR functions to keep the organization compliant in all processes related to HR.

General Responsibilities:
  • Manage and/or coordinate operations, as part of ensuring optimal efficiency and effectiveness of the organization.   
  • Based on objectives set by the COO and CEO, leads and executes special projects within and across the organization to drive operations. This includes developing tools, messages, data, programs, systems, and services.  
  • Leads and develops internal communication initiatives to employees as a means of facilitating employee collaboration and alignment.    
  • Creates edits and reviews, proof reads and manages complex documents, spreadsheets and presentations requiring aggregation of materials, inputs and comments from multiple stakeholders.
  • Maintains a high degree of confidentiality associated with access to personnel, confidential and insider information and strategic decisions in development/under consideration.  
  • Oversees the day to day operation of the office of the CEO & COO and ensures the efficient and cost-effective coordination of schedules, travel and expense reporting.  
  • Identifies problems, proposes solutions and asks for clarification/guidance as needed.  
  • Is able to prioritize multiple requests, execute efficiently, adhere to demanding schedules providing updates and seeking clarification as necessary  
  • Is proactive in identifying and addressing means of ensuring success for the organization  
  • Applies a high attention to detail and creates a high degree of organization to ensure high quality work product and adherence to deadlines. Must be very detail oriented, organized, self-motivated to follow through on requests (without requiring follow-up), and perform professionally under pressure and with limited direction.
  • Ability to arrange HR files, applications and perform general HR functions as needed by the organization.  Also ensuring that the organization stays compliant in their HR processes and procedures.
 Qualifications:  
  • A bachelor’s degree in Business Administration, preferred.  (Or Equal Experience) 
  • Five plus years of progressively more responsible supporting VP or C-Level Executives
  • Requires a demonstrated knowledge of the practices and procedures of the function, company products, policies and programs. 
  • Demonstrated oral and written interpersonal, communication, organizational skills.
  • Must be adept at handling and prioritizing multiple assignments.
  • Demonstrated advanced experience with word processing, presentation, spreadsheet, expense and travel software (MS Office/Word/PowerPoint/Excel/SharePoint).  
  • Demonstrated initiative and organizational skills as well as analytical ability, originality and/or ingenuity required. 
  • Must be adept at working in a fast paced environment, handling multiple assignments and delivering high quality work product on time.
  • Experience working in a broader enterprise/cross-division business unit model preferred.
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment. 
  • Ability to leverage and/or engage others to accomplish projects.
  • Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization.
  • Multitasks, prioritizes and meets deadlines in timely manner.
  • Strong organizational and follow-up skills, as well as attention to detail.
  •  Ability to maintain regular and predictable attendance.
